Complaint Handling Policy
Version 2.0 – May 2026
The satisfaction of users and investors of the Makers Fund platform, accessible at makers-fund.com (the "Platform"), is a priority for MIMCO Asset Management S.A.S. (hereinafter "MAM") in the course of its management and marketing of the alternative investment fund Makers Fund (the "Services").
If, despite our commitment to the quality of our services, you wish to file a complaint, as defined in Article 2 of this policy, please refer to this document, which outlines the procedures for filing, processing, and tracking complaints.
The filing and processing of complaints are free of charge for the User, as defined in Article 1 of this policy, and no specific fees may be charged to them.
This policy is kept up to date and made accessible to Users through appropriate means, including on the Platform.
I. Scope
This policy applies to complaints made by any person with a legitimate interest in MAM regarding the services covered by this policy, including those without a contractual relationship, such as:
- visitors and internet users;
- investors (individuals, legal entities);
- holders of financial securities;
- persons who have requested a product or service from MAM, or who have been solicited by MAM, including agents and their beneficiaries;
- distributor partners and independent financial advisors (CGP);
- any person using the services offered by MAM via the Platform.
These individuals are hereinafter referred to as the "Users".
Complaints may relate in particular to:
- the use of the Platform and its technical operation;
- the subscription or redemption process;
- information provided during onboarding or subscriptions;
- the processing of personal data (excluding specific GDPR procedures);
- the quality of the relationship with the MIMCO teams.
II. Definition of a complaint
A Complaint is any expression of dissatisfaction addressed to MAM by a User, regardless of the contact person, concerning a service provided via the Platform or the operational management of the Makers fund.
The following do not constitute a Complaint under this policy:
- a request for information or advice;
- a request for service, delivery, or technical assistance;
- a request for clarification regarding a product or process
(collectively, a "Complaint").
These requests are handled by the MAM teams through standard support channels, independently of this procedure.
III. How to file a complaint
Users may submit their complaint to the Complaint Handling Officer via the following channels:

The Complaint Handling Officer serves as the single point of contact for complaints covered by this policy. They are responsible for forwarding them to the appropriate department, if necessary, and monitoring the response.
To facilitate the processing of the request, the complaint must include:
- the claimant's full contact details (surname, first name, email, account number if applicable);
- a clear and precise description of the situation;
- the date of the events in question;
- any document or supporting evidence useful for analyzing the request.
IV. Complaint handling
Complaints are processed centrally to ensure consistent analysis, traceability, and appropriate follow-up. The process includes the following steps:
1. Receipt and registration
Any statement that may constitute a complaint is identified, regardless of the channel through which it is received (written or oral), and then recorded in a dedicated register with a tracking number assigned and communicated to the claimant.
When a complaint is made orally or via instant messaging and cannot be resolved immediately to the user's full satisfaction, the user is requested to formalize their grievance in a durable written format.

2. Acknowledgment of receipt
An acknowledgment of receipt will be sent to the claimant within a maximum of 10 business days from the date the initial written complaint is sent, unless a full response is provided within that timeframe.
This acknowledgment of receipt reiterates the information regarding the Complaint handling process set out in this policy, including how to refer the matter, applicable deadlines, and how to contact the relevant ombudsman, unless a full response is provided within the same period.
3. Complaint Analysis
The relevant teams analyze the request, gather the necessary information, and, if applicable, consult the Fund's relevant stakeholders (fundcraft, MC Square / Ascender, etc.).
4. Case Investigation
The relevant departments examine the information provided to identify the root cause of the issue and determine appropriate measures.
5. Response to the Complainant
A clear, reasoned, and case-specific written response is provided to the User, accompanied by detailed explanations or corrective measures where necessary. If the Complaint involves the Fund's regulatory stakeholders, the response is coordinated with them.
When a Complaint is addressed to an inappropriate contact, it is forwarded to the relevant contact or department, with MAM monitoring its processing until a response is sent.
The response sent to the User specifies, as appropriate, whether the relevant ombudsman may be contacted immediately or, failing that, after a period of two months following the dispatch of the initial written Complaint.
MAM ensures, where applicable, the forwarding of any correspondence intended for the relevant ombudsmen.
V. Processing Deadlines
Complaints are processed within the following timeframes:
- Acknowledgment of receipt: within a maximum of 10 business days from the date the initial written Complaint was sent, unless a full response is provided within that period;
- Final response: within a maximum of 2 months from the date the written Complaint was sent to the date the response is sent to the client, unless specific, duly justified circumstances arise.
The response times applied are consistent with the nature of the Complaint.
If further analysis is required, if the Complaint involves third parties (Transfer Agent, AIFM, etc.), or if specific, duly justified circumstances prevent adherence to the announced deadlines, the User will be informed of the processing status and the expected response time.
MAM also responds to User requests for information regarding the status of their Complaint processing.
VI. External Recourse
MAM's internal Complaint handling process is separate from independent mediation procedures.
For disputes falling within the jurisdiction of the Autorité des marchés financiers (AMF), if the User is not satisfied with the response provided to their Complaint, or if no response has been provided within the applicable timeframe, they may refer the matter to the AMF Ombudsman free of charge:
- preferably via the electronic form on the AMF website (amf-france.org);
- or by post to the following address: Médiateur de l'Autorité des marchés financiers – 17 place de la Bourse – 75082 Paris cedex 2.
In the event of a total or partial rejection of the Complaint, the response sent to the User will reiterate the possible avenues for appeal as well as the contact details of the competent mediator.

VII. Monitoring and improvement of the system
Complaints are subject to regular internal monitoring and periodic reporting to the relevant departments or individuals in order to:
- to identify potential malfunctions through the subjects of Complaints and requests submitted by a mediator;
- to improve the quality of the services offered;
- to implement necessary corrective actions within a reasonable timeframe;
- to produce, where applicable, regulatory reports relating to the handling of Complaints.
MAM prepares a summary at least annually for the appropriate governance bodies, covering the quality of the Complaint handling process, any malfunctions, failures, or poor practices identified, as well as any corrective measures planned or implemented.
VIII. Data retention
Information relating to Complaints (files, correspondence, responses) is kept for a minimum period of 5 years from the closing of the file, in accordance with applicable regulatory obligations and traceability requirements.
This data is processed in accordance with the Mimco Asset Management Data Protection Policy regarding the operation of the Makers fund Platform, which is available on the Platform.
